Company Accreditation Form

Apply for accreditation to enjoy added flexibility when renting equipment from IM Rentals. Accredited companies may be allowed to rent without a caretaker, subject to our assessment and approval. Additional benefits include simplified booking and access to exclusive rental terms.

Terms and Conditions:

  1. Authorized Personnel
    Only individuals explicitly authorized by the company are allowed to pick up, receive, or transact rentals on behalf of the client. IM Rentals reserves the right to deny release of equipment to any unauthorized personnel. All transactions made by unapproved representatives will be considered invalid.
  2. Equipment Return
    All equipment must be returned in the same condition it was issued, by the agreed date and time. Late returns are subject to overtime charges based on current equipment and personnel rates.
  3. Liability for Loss, Damage, or Theft
    The accredited client is fully responsible for any loss, damage, or theft of equipment during the rental period, regardless of cause. Assessment and repair or replacement costs determined by IM Rentals must be paid within seven (7) calendar days of notice. Equipment must not be used by unauthorized third parties.
  4. Transportation and Logistics
    Transportation and logistics are strictly c/o the client. Should IM handle booking or coordination, additional charges will apply. Any loss or damage incurred during transport remains the sole responsibility of the client.
  5. Security Deposit
    A refundable security deposit may be required prior to equipment release. This will be refunded after all equipment is returned, inspected, and confirmed to be in good working condition. If damages or losses are found, the deposit will be applied accordingly. Any costs exceeding the deposit must be settled by the client.
  6. Equipment Use and Handling
    • Equipment must only be handled by qualified personnel.
    No modifications, repairs, or alterations are allowed without prior written consent.
    Equipment may not be transported outside of Greater Manila area unless authorized in writing.
    Subleasing or allowing third-party use without approval or agreement is strictly prohibited.
  7. Inspection Upon Release
    The client is responsible for inspecting all items upon pickup or delivery. Any issues or missing components must be reported within one (1) hour. Otherwise, the equipment is deemed accepted in good condition.
  8. Equipment Malfunction
    If equipment malfunctions through no fault of the client, IM Rentals will provide reasonable technical support or a replacement unit if available. IM Rentals is not liable for production delays, losses, or damages resulting from technical issues.
  9. Data and File Management
    All media cards and storage devices will be reformatted and wiped upon return. Clients must back up their files prior to returning the equipment, unless otherwise arranged in writing. IM Rentals is not liable for data loss.
  10. Rental Duration and Overtime
    A standard rental day is up to 16 hours, beginning at pickup and ending at return, unless agreed otherwise. Overtime fees will apply beyond this period for both equipment and personnel.
  11. Crew Support Obligations
    Clients must provide transportation, meals, and beverages for IM Rentals personnel during the rental period, unless otherwise agreed in writing.
  12. Client Liability
    The client is responsible for any incidents, damages, or losses that occur while the equipment is under their care, except when caused by IM Rentals crew or assigned caretakers.
  13. Cancellation and No-Show Policy
    • Cancellations made less than 12 hours before the scheduled pickup time: 30% cancellation fee
    Cancellations made less than 6 hours before pickup: 50% cancellation fee
    Cancellations after pickup or deployment (including delivery to client or location): 100% of the rental fee is due and considered billable in full, regardless of use.
  14. Payment Terms
    • Down payment is required upon booking confirmation, unless agreed otherwise.
    • Full payment is due on the rental date unless alternative terms have been agreed in writing.
    • Late payments are subject to penalty fees.
  15. Compliance with Protocols
    All clients must comply with IM Rentals’ operational protocols, including proper check-in / check-out procedures and all security, handling, and facility guidelines.
  16. Insurance
    Clients are encouraged to secure appropriate insurance coverage for high-value or sensitive rentals. IM Rentals may require proof of insurance before release of select equipment.
  17. Accreditation Revocation
    Accredited status may be suspended or revoked at any time for violations of terms, misuse of equipment, non-payment, or any action deemed detrimental to IM Rentals.
  18. Data Privacy Compliance
    Both parties agree to comply with the Data Privacy Act of 2012 (RA 10173). Personal data will be handled securely, used only for rental-related transactions, and any breaches must be reported immediately.
